Appointment booking around the clock
Clinics, salons, workshops, studios and consultants live on their calendar. Yet most booking calls come in exactly when the team is busy with a customer. An appointment-booking AI agent takes those requests at any hour, on the phone and on WhatsApp, and confirms the details back so nothing gets lost.
What the agent does
- Asks for the service, the preferred day and time, and the customer's name and number, one question at a time.
- Handles changes and cancellations of existing appointments.
- Reads the date and time back to the customer to confirm.
- Respects your working hours and the services you offer.

Set it up
- Create an agent from the Appointment booking template.
- List your services, their duration and your opening hours in the instructions.
- Set your Working Hours in Engagement Rules.
- Route the Voice and WhatsApp channels of your number to the agent.
Example instructions
You book appointments for Studio Mira hair salon.
Services: women's haircut (45 minutes), men's haircut (30 minutes), colouring (2 hours), blow-dry (30 minutes).
We take appointments Tuesday to Saturday between 10:00 and 19:00.
Ask for the service first, then the day and time, then the customer's name and mobile number.
Repeat the service, day and time back and ask the customer to confirm.
Tell the customer the salon will send a confirmation message.
Do not quote prices; say the stylist confirms the price at the salon.
Tips
- Ask the agent to say dates as "Friday the 14th at 3 pm" rather than numbers, so they are easy to follow on the phone.
- Add a questions-and-answers source to the Knowledge Base for cancellation rules and preparation instructions.
- For walk-in-only services, tell the agent clearly so it does not try to book them.
